Admission and Enrollment

Manages the processes related to access tests to Spanish public universities (high school, over 25, 40, and 45), as well as pre-registration and allocation of slots.

Manages the university’s admission processes by defining all the phases (setting criteria, form management, calls, slots, fees, agreements, tests, and appointments) and the allocation of applicants per program.

Manages the processes and tasks related to enrollment in university studies (subject selection, groups, schedules, payments, etc.). Additionally, it generates all the required reports and lists related to the enrollment process, as well as other subsequent tasks (enrollment cancellation and removal, transfers, group changes, etc.).

Teaching

Allows the creation of study plans or degrees offered by the university, as well as the restrictions and operating conditions, which directly affect students' academic records.

Manages the university's doctorate programs. It allows the creation of a doctoral program, prepares enrollment, manages admission requests, and enrolls in a doctoral program, as well as controls the record, activity registration, research plan, and doctoral thesis.

Manages degrees that are not officially recognized but are part of the institution’s postgraduate academic offerings (master's, specialization courses, experts, microcredentials, etc.). It covers from course definition, offer, enrollment, grading, and degree management.

Facilitates the management of short-duration courses, including course creation, financial management for tuition collection, pre-registration and student enrollment, record and title management. It also includes course preparation and logistics, attendance control, and diploma/certification issuance.

Allows scheduling of subjects, activities, groups, professors, schedules, and spaces needed to deliver teaching in a specific academic period.

Integrates academic data of students enrolled in UNIVERSITAS XXI with e-learning platforms. It also integrates grades from these platforms with the academic system for final grade calculation.

Allows administrative personnel to perform all tasks related to the consultation and management of student records, as well as related processes (recognitions, validations, transfers, blocks, certificate issuance, etc.).

Manages and publishes the grades obtained by students in a subject, for different exam sessions, whether ordinary or extraordinary.

Defines all parameters and necessary information for controlling the financial aspects of academic processes (enrollment, activity fees, certificate issuance, etc.). It also manages processes like receipt control, financing, payment methods, refunds, debt, and integration with the university’s financial system.

Manages scholarships offered by the university and external entities. It allows for the pre-registration, management, and awarding of scholarships to students based on the necessary eligibility criteria.

Student Activity

Includes the management of students' curricular and extracurricular internships during their academic career, as well as the management of job offers. Agreements, offers, evaluation criteria, applications, and distribution and assignment processes are defined.

Manages mobility processes such as the Erasmus program, giving autonomy to both the student and the coordinating staff, as well as facilitating the relationships and flow of information between them.

Manages the application and allocation process for mobility slots in various university programs: agreements, registration, assignment, and stay monitoring.

Graduation

Manages official degree applications from students in Spain, as well as the management and issuance of the European Diploma Supplement.

Facilitates the issuance of electronic degrees for all types of studies (undergraduate in America, postgraduate, continuing education, micro-credentials, etc.). Printed degree management can also be included.

Includes the management of graduation processes for different university promotions (ceremonies, records, etc.).

Alumni

Facilitates the connection of alumni with the University through a network of contacts, events, course offerings, activities, communications, etc. It manages memberships and benefits, allowing the University to maintain its relationship with the academic community throughout their professional life.

General

Provides the information requested by different entities in each country according to the criteria and formats established by them. Common objectives enable the comparability of universities within each higher education system.

A large number of reports from all academic areas are available to administrators, with export options to office tools, customizable listings, and the creation of new reports from predefined lists. Other tools like BI Publisher and Certifications are also used for creating and configuring certificates and new reports.

Manages the sending of automatic emails (linked to academic events) and manual emails: grades available, open records, resolved validations, etc. A broad catalog of communication templates is available for all management areas.

Through predefined dashboards and reports, a wide set of indicators on admission, performance, success, dropout rates, graduation, financing, available resources, etc., is provided to administrators and governing teams. These indicators allow for the analysis of data trends over time, aiding decision-making. The information can be exported to office tools.

Allows integration with any document management system that complies with the CMIS standard. Facilitates the upload and consultation of student documents related to any academic process (admission, enrollment, financial settlement, mobility, etc.).

Infrastructure based on (micro)services/APIs that allow the University to interact with the UXXI system.
